Free quote template for air conditioning
Updated October 2026. General information, not tax or legal advice.
A split-system quote should name the unit, how many metres of pipe are included, where the condensate goes, and who is doing the electrical. “Supply and install air con” is how the price moves on the day.
The sample is a 3.5 kW reverse-cycle system on a single-storey brick wall. The names and the ABN are examples. Copy the lines, then put your own unit, your rate and your exclusions on it.

Notes
Priced from a site visit on 22 Oct 2026. Outdoor unit on a bracket at ground level, one core through a single brick wall, 5 m of pipe in total. A roof mount, a concrete slab, a condensate pump, a switchboard upgrade, asbestos, and removal of an old system are not included. The old unit stays. Power will be off while the new circuit is connected.
Terms
This quote is valid for the period shown. Prices are in Australian dollars and, where GST is applied, unit prices exclude GST. Work starts after written acceptance. Variations to the scope are quoted separately.
Name the unit and the wall
- Capacity and type. A 3.5 kW reverse-cycle is not a 7 kW, and cooling-only is not reverse-cycle.
- Indoor head and outdoor unit on one supply line when they are one system. A second head is a different price.
- Where the outdoor unit sits: wall bracket, slab, or roof. Write the one you priced.
- The wall, and how many cores. Ground-floor brick is not concrete, and it is not a second storey.
- Who supplies the unit. If the client bought it, say the price is install only.
Pipe, drain and power
- Metres of pipe included, then a line for the extra metres. Write the number. Do not leave it as “standard install”.
- Where the condensate goes. Gravity to an existing point is not a pump, and a pump is not a new drain.
- The electrical as its own line, or a written exclusion. A new circuit is licensed electrical work. If another trade does it, say so, and say whether their cost is in this price.
- A full switchboard, a long cable run, or three-phase is extra unless you have priced it after looking at the board.
The old unit, and the licences
If you are removing an old system, price that labour and say whether refrigerant recovery is included. If you are not, write that the old unit stays. Recovering refrigerant is regulated. Who may do it, and who may buy refrigerant, depends on the current Australian rules, and those categories change. Check the Australian Refrigeration Council before you describe that part of the job. This page is not the licence list.
Air-conditioning work and electrical work are licensed separately, and the class depends on the state or territory where the job is. Do not write that you are licensed for the whole quote unless the licence you hold covers every line. Check the regulator for that state.
Write yours in Docket
Copy the lines into your own quote, with your unit and your exclusions. Docket writes the quote and the PDF. Choose Convert to invoice and the same lines become the invoice. The document stays in this browser.
Try Docket free. The free plan is 5 jobs a month, counted in this browser when you download the PDF or turn the quote into an invoice. The quote and its invoice count as one. Pro is A$12 a month or A$99 a year, including GST.
If you are registered for GST, leave unit prices ex GST. With GST on, the PDF adds 10%, and the invoice is titled Tax Invoice. If you are not registered, turn GST off. The GST guide on this site has the longer version, and it is general information, not tax advice.
Short answers
Should the electrician be on the air-conditioning quote?
If a new circuit or a hard-wired isolator is part of the job, either price it as a line or write that the electrical is excluded. Say who is doing it. A quote that never mentions power is the one that gets argued about on the day.
Do I include removing the old split system?
Only if you are removing it. Say whether refrigerant recovery is in the price. If the old unit stays, write that in the notes. Recovery is regulated, and the licence categories change, so check the current rules before you describe that work.
Can I use the sample prices on a real job?
No. The figures show the shape of the lines. They are not a rate card. Use your own supply price and your own labour.
Use your own name on the next one.
